General Questions

You should use StageDB because it is a tool designed to manage, store, compile and share stage machinery and control system documentation with a multi-language output platform. See our module and fee pages for more information.

You can try StageDB for free, but plans range from €50 for an individual plan and €25 a month/per user for a business plan.

StageDB is a scalable application and you can tailor the cost of the licences depending on your needs by adding/removing modules. Click here or see the fees page for more information.

Signing up is easy! Click on the “StageDB Free Trial” button on the StageDB Homepage or click here to sign up. Then enter your information in the relevant fields, hit the “Register” button and you’re in.

Cancelling is simple. Just click the “Cancel my account” button in your profile and follow the onscreen instructions.

You can access your user profile by clicking here or visiting the user profile page by signing in to StageDB, clicking on the arrow next to your user name and selecting “Profile” which will redirect you to your user profile. The “Cancel my account” button is on the bottom of the page.

Note that you must be signed in to StageDB first before you can access the page.

StageDB is the core application that provides the platform to manage your stage machinery, control system and equipment documentation. You can manage projects and documentation, customise reports, upload extra files, compile projects bundles and share them with clients, H&S authorities, colleagues, etc.

You can cancel at any time. If you have managerial permissions, go to the billing page and deselect the StageDB module you want to cancel. Cancellation will be effective the same day, but you will still have access to paid features for the period that you’ve already paid for.

If you’d like to cancel, but don’t have managerial permissions, then please speak with the “Manager” of the StageDB company account that you are an “Additional User” for.

StageDB does not give professional advice, presumption of compliance or approvals. It is designed as an application to aid you in managing your equipment and documentation needs.

If you cancel your account, you will no longer have access to your account and your data will be deleted after six months.

To sign in to your StageDB account, visit the StageDB sign in page or click here. Enter your email address and password into the email and password fields and click on the “Sign In” button to log in.

Note: If an invalid email address or password are entered, you will be taken back to the sign in page and an error message stating “Invalid email address or password” will appear in a blue box at the top of the page. To sign in, re-enter your information.

To accept a user invitation for an “Additional User” account, the “Manager” of the company account must first send you invitation instructions via email.

In the invitation email, click on the “Accept Invitation” link and you will be redirected to a separate page to create your account.

Fill in your information in the appropriate fields to set up your user profile and create your password.

User Profile – You should be able to see the company name and your email address. Just make sure to enter your given name and surname into the proper fields.

Password Setup – You can enter your new password and type it again in the password confirmation field to confirm it.

Language – You can select the language of your choice by making your selection from the dropdown menu. The choices are English, Italian, French, Spanish and Dutch. Please note you can change the language at any time via the “Edit Profile” page. Select the language from the dropdown menu and click on the “Save” button.

Password and Account Confirmation – After you’ve filled out all of the information, read the Terms and Conditions and Privacy Policy, and check the box to agree.

Make sure to enter a password in the “Password” field and that it is a minimum of 8 characters. We suggest using a strong password combined with upper and lowercase letters, symbols and numbers.

When finished, click on the “Set my password” button to set your password and register your account.

If a new user did not receive confirmation instructions to confirm their account, you can resend them by clicking here or visiting the StageDB sign in page and accessing the “Didn’t receive confirmation instructions?” link.

Once you’ve clicked on the link, enter the email address of the new account into the email field and click on the “Resend confirmation instructions” button. The user should receive an email asking them to confirm.

Note that you cannot resend confirmation instructions to a user that has already confirmed their account with StageDB. An error message stating “1 error prohibited this user from being saved: Email already confirmed” will appear on the page in a red box after clicking the “Resend confirmation instructions” button.

If you’re unable to sign in to your account and it becomes locked, click here or click on the “Didn’t receive unlock instructions” link on the sign in page to send yourself instructions in order to unlock your StageDB account. You will be taken to a separate page to enter the email address of the locked account.

Free Trial

Try StageDB free for 90 days and cancel at any time with no commitment.

Your trial gives you access to the StageDB platform where you can customise reports, upload additional documentation, compile project bundles and share them with clients, and use our multi-language output interface to create reports. Depending on your trial, you may also have access to additional module features. Refer to details of your free trial for more information.

You don’t have to do anything but let the trial expire, and you won’t be charged.

When you sign up for a free trial, you receive access to the core StageDB application and/or to one or more of the modules (depending on the trial you signed up for) that is for a limited period of time. Once the trial period expires, you will lose access to these services unless you buy a licence before the trial ends.

You will not be charged if your trial expires and if you have not bought a licence. But you will lose access to any content and/or data that was created during the trial period.

At the end of the trial period, StageDB will send you an invoice for the applications used during the trial period if you wish to buy such licenses.

To retain access to your account’s content and/or data, you must purchase a licence before the free trial period expires.

If you don’t want to purchase a StageDB licence, just reply to the email that you are not interested in the product and you need to cancel your account.

Account Management

If you’re a “Manager” or the person who initially created the account then the account is maintained through your user profile and the company information page.

In your profile, you can manage your contact information, email notifications, password, etc. For the company associated with the account, you can edit the company’s information, add users, set permissions, edit billing, etc. from the company information page.

If you’re an “Additional User”, you can manage your account via the settings in your user profile, but you will not be able to edit any of information on the company information page unless a “Manager” gives your account certain permissions.

If you’ve forgotten your password, it can be reset by clicking here or accessing the “Forgot your password?” link via the sign in page. Enter your account’s email address into the relevant field and click on the “Send me reset password instructions” button. Then follow the instructions in the reset password email.

To just change your password, go to your user profile page and enter a new password into the field and re-enter it into the password confirmation box. Next enter your current password into the current password field and click save. Note that your password can also be changed by following the reset instructions above.

Go to your user profile and update your email address in the email address field. Once this is done, type your password into the current password box to confirm your changes and click “Save”.

If you cancel your licence subscription, you will still have access to the features you paid for and any time period that is remaining. Once the period is over, your access to the account and those features will expire.

If the subscription expires, but you do not close your account then your content and data will be stored for six months and may be deleted after that time period.

To add a user, you must have a business plan associated with your account. Once this is done or if it is already in place, you can add “Additional Users” by clicking on the “Add a new user” button and following the instructions to send an invitation to create a user account that will be associated with your company.

Note that if you have a business plan with three users and you want to add a further user then you will need to expand your licence.

If you’re a “Manager” then you can remove users from your company account via the “Permissions” page, which can be accessed on the company page. Click on the “Permissions” button and click on the “Destroy” button next to the user’s entry to remove them from the account. Then click on the “Save” button to save your changes.

NOTE: A deleted user will need to be invited again by the “Send Invitation” page if you want to add them back to the account.

Billing

We currently accept all major credit cards.

You must cancel your subscription before renewal if you don’t want to be charged. We’ll send you an email reminder 15 days before your annual or monthly subscription renews.

To get a refund for an annual subscription, a request must be made up to 5 days from the date of billing by contacting us at support@stagedb.com.

Note: Monthly subscriptions are ineligible for refunds, except in cases of double billing or other clerical errors.

If you are a “Manager” then you can add or change your payment method by clicking on the “Add a payment method” button or the “Edit” button on the top of the billing page, and enter your payment details into the “New Card” or “Existing Cards” field and click “Update Billing” to save.

To remove a current payment method, click on the “Remove Card” checkbox and press the “Update Billing” button to remove any saved payment cards.

Note that only “Managers” can update the payment method.

A licence gives you permission to use StageDB’s services and features for a certain period of time. Our licences can be bought on a monthly or yearly subscription.

You can buy a licence by signing up for a free trial and providing your payment information to extend your subscription, or access the billing page of your account and select and purchase a licence from the “New Licence” section. Click on the “Update Billing” button to save your changes.

You can’t edit the currency on your account because it’s linked to the location your account is registered with and can’t be changed unless you contact the StageDB Support Team. Manually updating the currency will either result in a billing error or won’t allow the change to occur.

StageDB Plans

With a basic StageDB account, you can manage documentation for stage machinery, control systems and equipment, create and maintain projects, customise and create reports with our multi-language output interface, upload extra files, compile project bundles and share them with clients, H&S authorities, colleagues, etc.

However, each account must be signed up for an individual or business plan. Individual plans allow a maximum of 1 user and business accounts must have a minimum of 3 users.

A “Manager” is the person who initially creates the StageDB company account or is the party that is authorised to create the company account.

In general, managers have the rights to add “Additional Users” to the account, give another user managerial permissions, grant additional access to users, terminate the service, delete data, add modules, access billing, edit company information, etc.

“Additional Users” are users that a “Manager” gives access to the StageDB company account. These users may be able to delete, copy, or view content/data and add modules depending on the type of access a “Manager” gives them.

At the moment, there is no specific plan that includes all of the modules. However, you can add as many modules to your StageDB company account as you wish. Please click here or visit the StageDB Fees page for more information and pricing details.

Yes. You can add additional accounts to your company profile, but only if you’ve signed up for the business plan. Business plans allow for you to share the account with 3 users by default. If required, additional users can be added to your business plan.

ORA Basic and ORA Pro are two different tiers that are available for the ORA module and can be added to your individual or business plan.

ORA Basic allows you to create DRAFT matrices, allocate hazards and hazardous situations, estimate hazards, compile/print a risk analysis, add risk reduction measures, allocate documents and references, and compile/print a DRAFT risk assessment.

ORA Pro gives you all of the options of ORA Basic, but also allows you to approve your matrices, risk reductions and validate the risk assessments. However, risk assessment training and the passing of the ORA Tool Exam will be required to use ORA Pro.

If you cancel before your subscription ends, you will still have access to the features and services for the time period that you have already paid for. For example, if you have an annual subscription and cancel in the tenth month, you will have two months worth of access left before the subscription ends. Once the subscription expires, you will no longer have access to those features and services.

Note: If your subscription expires but you do not cancel your account, your content/data will be stored for six months. After this period ends then your content/data will be deleted.

Early Access Features

Early Access Features are new or updated features, which may be available for voluntary use before their general release on StageDB. These features might have associated fees that will be disclosed to you at the time you choose to use any Early Access Features.

You may not be able to revert back to a prior non-early access version of the same or similar feature. Additionally, if such a reversion is possible, you may not be able to return or restore data created within the Early Access Features back to the prior non-early access version.

Note: Early Access Features are provided on an “as is” basis and may contain errors or inaccuracies that could cause failures, corruption or loss of data and information from any connected devices. Your use of the Early Access Features is at your sole risk.

Modules and Services

Smart Technical File [STF] is a StageDB module that can be added to your account and gives you a quick and efficient way to organise your documentation in order to compile technical files for your equipment and projects. STF lets you create your own technical files, add, assign and upload documents, create categories, compile your files, etc. It also tracks your files for you and acts a content manager for all of your documentation.

You can upload or add:
Equipment serial numbers or asset codes, manufacturing dates and inspection dates, group features and the specifications of your equipment. You can upload product datasheets, EC Declaration of Conformity or Declaration of Incorporation, certifications, inspection reports, equipment logbooks, maintenance and repair reports, approvals and other relevant documentation.

You cannot upload or add:
Illegal, fraudulent, defamatory, obscene, pornographic, profane, threatening, abusive, hateful, harassing, offensive, inappropriate or objectionable information or communications of any kind, including without limitation conduct that would encourage “flaming” others, or criminal or civil liability under any local, state, federal, national or foreign law;
Content that would impersonate someone else or falsely represent your identity or qualifications, or that constitutes a breach of any individual’s privacy;
Except as permitted by StageDB in writing, investment opportunities, solicitations, chain letters, pyramid schemes, other unsolicited commercial communication or engage in spamming or flooding;
Virus, trojan horse, worm or other disruptive or harmful software or data; and
Any information, software or Content which is not legally yours and without permission from the copyright owner or intellectual property rights owner.

Online Risk Assessment, Equipment Database, etc. are “modules”.

Each module gives you access to different features and can be added on to your StageDB account for an additional fee that will be on top of your plan fee.

Equipment Database [EDB] is a module that can be added to your StageDB account’s basic package.

EDB will give you access to a database of stage equipment that you can assign to your uploaded inventory, related documentation and compile a project technical file to share with your clients and team.

With EDB you can manage your stage equipment’s EC Declaration of Conformity, Inspection Certificates, Maintenance Reports, Logbooks, Instructions and add custom documentation to support your technical file. The equipment database will provide a large directory of up-to-date user manuals, datasheets and product pictures related to the uploaded equipment. If you have a business plan and the equipment you require is not in the list, then we can add it to the database for you.

EDB adds more functionality to the way your equipment is organised, tracked and generates a dynamic PDF for technical files with a link that you can copy and share with your clients and team.

Online Risk Assessment [ORA] is a StageDB module that can be added to your account so you can draft Machinery or Control System risk assessments for your equipment. The module is based on EN ISO 12100:2010 and aids you in the risk assessment process, while allowing you to analyse and evaluate risks, apply risk reductions and protective measures, and save and share your risk assessments with clients and colleagues.

In addition, you can associate your risk assessment with documents related to a technical file.

Customer Support

You account may be terminated if you violate any clause in the StageDB Service Agreement and/or any applicable laws, regulations while using our services.

The following examples of such a violation can include:
Not meeting any applicable payment obligations
Not promptly notifying us of any information changes regarding your payment and registration information that is not accurate, current and complete
Not complying with the StageDB Service Agreement
Using or allowing an unauthorised third party to use your account and content/data, and/or our services that violates any applicable laws, regulations or the StageDB Service Agreement
Reproducing, modifying, copying, deconstructing, selling, trading or reselling any StageDB services
Making any StageDB services available on any file-sharing or application hosting services and/or sites
Uploading content to StageDB that violates the StageDB Service agreement and/or that is illegal

StageDB will immediately suspend any access to your account and any StageDB services if your account is terminated.

If your account is terminated because of lack of payment, then your account may be deactivated and your data/contents will be kept for 90 days and after such period, your account may be closed or deleted if payment for the amount owed is not provided.
